Purchasing Coordinator

As a Purchasing Coordinator, the incumbent will be responsible for ordering finished goods and components, and scheduling delivery dates for multiple product lines with domestic and international suppliers.  This person will coordinate orders from various markets to reach minimum order quantities (MOQs), place orders with appropriate supplier, track and expedite orders, and coordiante product shipments in support of customer service fulfillment expectations.  This role has daily communication with domestic and foreign suppliers and internal teams regarding production or delivery issues.

Essential Job Duties and Responsibilities:

  • Place finished good and component purchase orders and schedule production with suppliers to fulfill sales forecast and customer demands
  • Build strong relationships with domestic and international suppliers to resolve delivery and quality concerns
  • Coordinate multiple product shipments to our distribution center in a timely fashion
  • Coordinate and communicate across multiple departments to problem solve and manage production and quality control issues, and then provide recommendations and resolutions to the team
  • Maintain accurate and reliable records and reports for scheduling and logistics activities.
  • Update and maintain accurate production planning systems information (i.e. update system dates, product quantities, and other vital system information)
  • Create and maintain product structures within the corporate production scheduling and purchasing systems utilized by the company.
  • Issue purchase orders and/or purchase releases in support of production schedules as needed. ($16 million dollars worth of purchases annually); audit vendor invoices, expedite product manufacture and shipments as needed.
  • Complete other projects or assignments as needed. Send out literature, film, back stamps, or other pertinent product information to decorators as needed

Required Qualifications

            Education, Licensing, Certification, and Experience

  • Minimum 3-5 years work experience, preferably in a Marketing or Purchasing environment.
  • Bachelors degree in Business, Purchasing, or a related field

Knowledge, Skills, and Abilities

  • Excellent organizational skills.
  • Excellent verbal and written communications skills.
  • Strong numerical apptitude.
  • Excellent attention to detail.
  • Computer Skills: Must be able to understand and demonstrate solid Microsoft Word and Microsoft Excel skills.

Preferred Qualifications

            Education, Licensing, Certification, and Experience

  • Experience in house wares or giftware industry
  • Knowledge and ability to set-up product structures within an MRP system a plus.
  • Experience working with material requirements planning systems or other related computer software a plus
